Residential change orders often begin informally: a photograph from site, a voice note, a customer message or a conversation between a contractor and subcontractor.
The commercial risk begins when work progresses before the scope, price, schedule effect and customer decision have been documented together. ChangeLink was evaluated against a focused objective: turn unstructured site information into a reviewable change-order record and preserve a traceable approval history.
An informal change process can leave contractors unable to answer essential questions: what exactly did the customer request, which information was missing when the change was drafted, what price or schedule impact was presented, which version did the customer approve, and when was the approval recorded?
ChangeLink addresses this documentation gap without presenting itself as a complete enterprise project-management or accounting platform.
Our approach
The validated workflow
Multimodal site intake: the contractor can begin with raw text, photographs, a voice note or a PDF containing information about the requested change.
AI-assisted structuring: ChangeLink organises supplied information into a structured draft, identifying the title, description, reason, stated schedule impact and stated line items when those details are present. The system does not estimate missing prices, predict approval or silently invent unknown information; missing details are flagged for contractor review.
Human review before sending: the contractor reviews and completes the draft before it becomes customer-facing. AI output is preparation assistance, not an autonomous commercial decision.
Secure customer review: the customer receives a tokenised link and can review the proposed change without creating an account.
Recorded approval: after the customer confirms the change, ChangeLink records the approval against the presented version and generates a locked, timestamped document.

Outcome
What the validation established
The product workflow demonstrated intake from photographs, voice notes, PDFs and raw text; structured AI-assisted drafting; explicit identification of missing information; human review before customer delivery; account-free customer approval; approval connected to a specific change-order record; and a locked, timestamped document and approval history.
These findings establish workflow behaviour. They do not establish a particular reduction in approval time, drafting effort, disputes or margin leakage.
